job summary

This position is responsible for processing payments to accounts receivable, accounts receivable collections, processing maintenance-agreement statements, covering receptionist as needed and other duties as assigned.

essential functions and basic duties:

  1. Responsible for accounts receivable transactions and collections as well as monthly maintenance-agreement billing process. Responsibilities for this role include:
    1. Process daily cash receipts.
    2. Call/Email customers regarding past due balances.
    3. Process monthly statements – mailing and emailing as requested by customer.
    4. Daily transactions to credit or bill maintenance agreements outside of monthly processing.
    5. Weekly reconciling of customer accounts to match payments and/or issue refunds.
    6. Coverage of front desk for breaks, lunches and PTO days.
    7. Pricing service calls as needed.
    8. Other duties as assigned.
  2. Process payments to accounts receivable. This includes the following:
    1. Receipt posting and deposit.
    2. Adjustments.
    3. Cash sales posting and bank deposit.
    4. Weekly reconciliation of customer accounts.
  3. Process maintenance-agreement statements.
    1. Monthly processing of maintenance-agreement invoices.
    2. Distribute invoices via email or mail as requested by customer.
    3. Request purchase orders from customers to complete maintenance-agreement billing process.
    4. Daily transactions, billing/crediting as sent by service department.
  4. Assist Pricing Clerk with pricing of service calls to prepare for billing.
    1. Review service calls for proper labor and materials.
    2. Enter inventory items to calls.
    3. Assist service techs with COD service calls.

  1. Accurate and timely processing of accounts receivable payments.
  2. Accurate and timely processing of maintenance-agreement invoicing.
  3. Accurate and timely processing of service-call pricing.



  1. Training, education, or certification:
  • High school diploma or equivalent required.
  • Associate’s degree in business field or equivalent from a two-year college or technical school is preferred.
  • 2 - 5 years accounts receivable experience preferred.
  1. Knowledge:
  • Experience with accounting software.
  • General accounting terms regarding accounts receivable.
  • Excellent communication skills.
  1. Experience:
  • 2 – 5 years accounting experience. (general accounting test will be given)
  • 2 – 5 years office experience.
  • Ability to type. (general typing test will be given)
  • Microsoft Word, Excel, Outlook and report-writing software knowledge.
  1. Skills and abilities:
  • Time management skills.
  • Excellent verbal and written communication skills.
  • Attention to detail.
  • Work well in a team environment as well as independently.
  • Able to maintain confidential information.
  • Manage competing demands.
  • Deal with delays or unexpected events.



Internal Contacts – Has regular contact with McElroy's Inc. employees.

External Contacts – Has regular contact with McElroy's Inc. business clients and vendors.

Physical Demands – Exerts up to 10 pounds of force occasionally, and/or negligible amount of force frequently. Involves sitting most of the time, but may involve walking or standing.
